Pre-Shipment Inspection: How We Ensure Every Order Meets Customer Requirements

An order is ready. Cartons are packed. The container is scheduled.


But before anything moves, one step remains: final inspection.


This week, we completed a pre-shipment inspection for a customer in Argentina-1-5. Every detail was checked against their specifications. Everything was confirmed before loading.


This article explains what pre-shipment inspection is, what we check, and why it matters for our customers.

What Is Pre-Shipment Inspection?

Pre-shipment inspection (PSI) is a detailed inspection of finished goods conducted before shipment. It typically takes place at the manufacturer's premises, with samples randomly selected according to a defined statistical sampling procedure-1-5.

The goal is to verify that the shipment matches the customer's specifications, quality standards, and compliance requirements before it leaves the factory-9. It is the last opportunity to catch any issues before the customer receives the order.

In international trade, PSI is a widely used quality control method. According to industry practice, it is typically conducted when 100% of production is finished and approximately 80% is already packed for shipping-6. This timing allows inspectors to see the product in its final, ready-to-ship form — exactly as the customer will receive it.

Why Final Inspection Matters

By the time an order reaches this stage, most of the work is done. Products are manufactured. Components are assembled. Packaging is prepared.

But the final inspection is the last opportunity to catch anything that might have been missed. It is our final check — before the customer does their own-6.

We don't want our customers to find issues at their warehouse. We want to find issues before they leave ours.

A product issue discovered after shipment is far more costly to fix than one caught at the factory. It involves returns, re-shipping, customer frustration, and potential damage to the business relationship. That is why we never skip this step.

What We Check

1. Product Specifications

We verify that every product matches the customer's order. Size, color, material, finish — all checked against the approved sample and purchase order-10-11.

A small deviation might not affect function. But it can affect customer confidence. We check anyway.

2. Visual Appearance

Products are inspected for visible defects: scratches, dents, uneven finishes, stains, or any other blemishes-2-6. These are the things the customer will notice first.

3. Functionality and Performance

If the product has mechanical or functional features, we test them. Switches, triggers, locking mechanisms, and other moving parts are checked to ensure they work as intended-2-6.

4. Dimensions and Tolerances

We verify that products meet the specified dimensions and tolerances. This is especially important for products that must fit with other components or meet specific industry standards-11.

5. Packaging Quality

Cartons are inspected for strength, sealing, and labeling. We make sure that packaging meets both our standards and the customer's requirements-2-6.

If packaging fails during shipping, the product inside is at risk. We check before it goes.

6. Labeling and Documentation

For international orders, labels and documentation must be accurate. Incorrect labeling can cause delays at customs-1-5.

We check shipping marks, product codes, barcodes, and all accompanying documents-6.

7. Quantity

Every order is counted. Every carton is confirmed. We want the customer to receive exactly what they ordered — no more, no less-1-5.

Our Pre-Shipment Inspection Process

Step 1: Preparation

The production team notifies our quality control team when the order is complete and packed. We prepare the inspection checklist based on the customer's specifications and the approved sample.

Step 2: Random Sampling

We select random samples from the completed shipment according to a statistical sampling plan. This ensures an unbiased assessment of the entire batch-1-9.

Step 3: Inspection

Using the checklist, we inspect the samples against all criteria: product specifications, appearance, functionality, dimensions, packaging, labeling, and quantity-10-11.

Step 4: Documentation

We record all inspection findings. If we find any deviations from specifications, we document them with photos and detailed descriptions.

Step 5: Decision

  • If everything meets the specifications, the order is approved for shipment.

  • If we find issues, we evaluate them. For minor issues, we may fix them on site. For major issues, we may need to rework or reject affected units-8.

Step 6: Final Approval

Once all issues are resolved, the order is approved. We share the inspection report with the customer if requested.
